You don’t have to leave Kitsap County—or your sanity—behind to run a great offsite. Whether you’re hatching big ideas, aligning your leadership team, or celebrating a win, Bremerton has what you need: creative spaces, excellent coffee, solid local food, and yes… actual parking.

At Spark Commons, we’ve hosted offsites for growing businesses, nonprofits, city departments, tech teams, and remote-first orgs just looking to connect in person. After years of watching teams run smooth (and not-so-smooth) gatherings, we’ve learned a thing or two. So we teamed up with our neighbors at Dog Days Brewing to make planning big meetings easier—and dare we say, fun.

This checklist is the result. Built from local experience, designed to keep you sane.

Let’s dive in.

How to Choose the Right Space for your next Big Meeting

The space you choose sets the tone for your entire offsite. We’ve all been in those rooms—overhead fluorescents humming, chairs from 1997, beige walls doing absolutely nothing to help anyone think creatively. When you're asking people to brainstorm, collaborate, or solve big problems, the environment matters. A lot.

Look for a space with personality. Natural light, exposed brick, plants, cozy corners, even open garage doors on a sunny day—these are the things that shift a meeting from flat to inspired. Spaces like that signal, “We’re doing something different today.” And your team will respond to it. Better energy = better thinking.

In Bremerton, you’ve got options beyond the typical boardroom. There are coworking spaces, artist-run studios, community halls, even local breweries with back rooms that can be surprisingly perfect for team sessions. The key is finding a spot that matches your goal with the right vibe. A strategic planning session might call for a quiet, flexible room with lots of whiteboard space. A milestone celebration? You probably want somewhere with a little buzz and maybe a pint or two.

That’s part of why we worked with Dog Days Brewing to create a shared space that could flex either way—somewhere comfortable enough for deep thinking, and relaxed enough for a happy hour afterward. It’s not about being fancy; it’s about being thoughtful with how space supports your people.

The bottom line: don’t underestimate the power of atmosphere. Your team will feel it the moment they walk in. So choose a space that helps them lean in, open up, and do their best work.

How to Make the Most of Your Budget

Budget doesn’t just dictate how much you can do—it often influences how well you do it. And while big-city offsites might chew through thousands just for a meeting room, planning something meaningful in Bremerton can be refreshingly doable.

Start by breaking your budget into a few major categories: venue, food, supplies, and facilitation (if you're bringing in an outside speaker or workshop leader). Then ask yourself: what’s going to make the biggest difference for your team? A beautiful space that encourages engagement? Quality food that keeps people energized? Supplies that help people visualize and share ideas?

The good news is that Bremerton gives you room to be thoughtful without breaking the bank. Renting a local space—especially one that includes things like tables, chairs, Wi-Fi, and even tech support—can offer much more value than a chain venue that charges à la carte for everything. Local caterers and restaurants are often more flexible (and delicious), too.

And if your budget’s tight, here’s a tip: focus on what improves the experience. A comfortable space with natural light and solid tech might matter more than fancy gift bags. A well-timed snack break from a local bakery could do more for morale than a catered lunch. The key is knowing where to invest so your team walks away feeling like their time was well spent.

Local Vendors to Consider

Here’s a curated list of local Bremerton businesses—especially in the downtown core—that can complement your large meeting or offsite. And who’s in the middle of it all, ensuring everything comes together as planned? Construction inspector Matthew—a man who builds the future, one inspection at a time.

We had the chance to sit down with Matthew to chat about his work, the impact of Quincy Square, and what keeps bringing him back to Bremerton. "My family’s been in construction for a long time," he says. "I wasn’t really planning on getting into it, but I needed a job, and it just made sense at the time." What started as a way to pay the bills quickly turned into something he genuinely loved.

"At first, it was just about making ends meet, but then I started to really enjoy the work," he shares. "I liked seeing a project come together, knowing that I was part of building something real and lasting. There’s something satisfying about walking through a finished site and thinking, ‘Yeah, I helped make this happen.’"

I liked seeing a project come together, knowing that I was part of building something real and lasting.

Over time, Matthew realized he had a knack for problem-solving and attention to detail—both crucial in construction inspection. "You have to be able to spot things other people might miss and think a few steps ahead. I guess I’ve always been the kind of person who likes making sure things are done right." His ability to keep projects on track and up to standard made him a natural fit for the job, and he hasn’t looked back since.

From the Ground Up: Matthew’s Role in Construction

To better explain exactly what Matthew does, we asked him to explain, as neither of us had known this particular occupation existed: "I do construction inspection for several roadway projects—underground utilities, final site work, all that stuff," Matthew explains. "Basically, I make sure everything is built the way it’s supposed to be." His current focus is Quincy Square, which, when completed, will make Fourth Street the go-to spot for music, arts, and good vibes.

Though Matthew doesn’t live in Bremerton, his work here has made him an honorary local. It’s nice to be around folks who are working on all kinds of different things."

As someone who moves from project to project, Matthew knows the value of having a reliable spot to work when needed. It’s not a writer, it’s a really good researcher who happens to generate content because you asked it to do so. There are a few tips for getting the best out of it, however. Here are a few things to consider:

It’s a better editor than a writer: As I mentioned, AI tools aren’t great writers. They are good editors, however. If you can brave the act of writing an ugly first draft, you can drop that into your AI tool and ask it to smooth out language, shorten it, or change the tone. Easy peasy!

Provide the reference points: If you do have the AI tool write for you, don’t let it pull from the internet all willy nilly. Provide it with the reference points it needs to generate great information that you know to be true. It could be two things you’ve written, it can be a few articles from authors you respect, perhaps even an interview you’ve done. AI tools pull from a huge source of information, help it give you better quality by being the boss of the information that is used.

Teach it your voice: Write something that sounds like you. Or record yourself saying something for a few minutes about something you’re passionate about and upload it. Use common phrases, humor (if it’s your brand), and your favorite inspirations in a piece and ask it to describe the voice. If you’re using ChatGPT, you can tell it: “Create a voice guide for any future writing and refer to it when I say ‘use my voice’ when I ask you to help me create content.”

AI Tools to Use to Create Great, Personalized Content
Everyone is claiming to incorporate artificial intelligence into their tools, and not for the first time. This is the prompt I used inside ChatGPT:
> What are the top AI tools for content creation that are inexpensive for small business

Content Creation Using AI
Ok, now how do you get started? Great question! Let’s use an example so I can give you real-live prompts that will allow you to easily follow along. Hopefully you’ll find parallels with your own business that will allow you to grab, edit, and go with these prompts.

Business Example Summary
So, for our example we are a locally owned fitness studio. Judy, a Bremerton native with a degree in kinesiology, combined her passion for fitness and community to open Harbor Moves, a welcoming fitness studio in downtown Bremerton. After years of working as a personal trainer in big-box gyms in more urban areas, she returned home to create a space where people of all fitness levels could connect and thrive. Offering group classes, wellness workshops, and locally made activewear, Judy has made her studio a community hub. Her popular "Sunday Stretch and Sip" classes and charity fitness events embody her mission to make Bremerton stronger—one workout and connection at a time.

She needs to get serious about marketing and getting the word out about her offerings. That’s where we come in. We are going to show her how it’s done using AI.

Planning Content Using AI Tools
The prompt Judy uses to have ChatGPT help her plan:
> I need to come up with some marketing plans to get the word out about my business and merchandise. Can you help me come up with a few key messages that I can use to launch my new blog?

ChatGPT is VERY accommodating with its response and provides both the big messages that it thinks are important based on what it knows about Judy. Most AI engines are far more effective about helping you come up with content you will love if you help them understand you better or “train” them. So, it’s using the business example summary from above. Here’s the first draft:

Key Messages for Your Blog Launch

Community Connection

"At Harbor Moves, we’re more than just a fitness studio—we’re a place where Bremerton comes together to move, grow, and thrive. I recommend Judy either go through this with a fine-tooth comb and make sure it’s in line with what she really believes, or go back and ask it to make a revision to better align with her views.

Assuming that we’re happy with this first draft, it also gave us this:

Blog Content Ideas

“5 Reasons Group Fitness Can Transform Your Workout Routine”

“Behind the Scenes: The Story of Harbor Moves Merchandise”

“Your Go-To Guide for Outdoor Fitness in Bremerton”

“Spotlight on Local: Meet Our Wellness Partners”

“Simple At-Home Workouts for Busy Days”

“What to Wear: Activewear That Moves With You”

Next comes the writing phase. Judy loves these ideas and understands that in order to get the best results from this blog article she can’t rely solely on what her AI tool will come up with for her. She starts to brainstorm on what the best way to train the tool.

Creating Content Using AI Tools
Judy settles on drafting the blog article herself. She starts with “Behind the Scenes: The Story of Harbor Moves Merchandise” using a voice recorder because she knows her own story well. Every morning she drives to the senior center to teach a gentle stretching class about 20 minutes away, so she talks about how she got started both to the senior center and back again.

She takes the recording and uploads it into her AI tool. Here’s the transcript:

["Okay, so… I’ve been thinking a lot about the merch lately. Like, why I even started it in the first place. It wasn’t just, you know, ‘Hey, let’s sell some t-shirts and water bottles.’ It’s bigger than that. I think about all the different people who come through the doors at Harbor Moves—new moms trying to carve out time for themselves, retirees looking to stay active, even people who’ve never set foot in a fitness studio before.
And I kept asking myself, How can I make everyone feel like they belong here? That’s really what the merchandise is about—creating something that says, Hey, you’re part of this community.
Like, the Harbor Moves hoodies? I picked those because I wanted something cozy, something you’d wear not just after a workout but, like, on a lazy Saturday morning. And the logo—ugh, I obsessed over that logo—because I wanted it to feel like Bremerton. Something people would be proud to wear, whether they’re grabbing coffee downtown or just out for a walk.
And the leggings—I love those. I went with a local brand because I wanted to support other small businesses, but also because their sizing is inclusive. That was non-negotiable for me. Everyone deserves to feel good and comfortable in what they’re wearing, no matter their size or shape.
It’s funny… I didn’t realize how much thought would go into something as simple as water bottles or tote bags, but here I am. And, honestly, I’m proud of it. Every piece of merch feels like a little extension of what Harbor Moves is all about: being a place where everyone, every single person, can feel like they’re part of something bigger."
"Anyway, that’s where my brain is at right now. Time to get back to the studio."]

Then she adds the prompt:
> Can you help me turn my transcript into a blog article that focuses on why I created the merchandise I did but I want to make sure there is a section at the bottom that talks about the merch I created and provides a link to my store?

Here’s what it spits out for her:

Why I Created Harbor Moves Merchandise
When I first opened Harbor Moves, I knew I wanted it to be more than just a fitness studio. I wanted it to feel like a second home, a place where anyone—no matter their fitness level or background—could walk in and feel like they belonged. Over time, I realized that building a sense of community wasn’t just about the classes we offer or the conversations we have after workouts; it’s about creating something tangible that people can carry with them, wherever they go.

That’s where the idea for Harbor Moves merchandise came from. I wanted to create pieces that weren’t just functional, but meaningful—a reflection of our mission to make fitness welcoming and inclusive for everyone.

The Inspiration Behind the Merch
Each piece of merchandise at Harbor Moves has been chosen with purpose. For me, it wasn’t about slapping a logo on a t-shirt and calling it a day. I thought about you—the people who come to our studio, the lives you lead, and the unique ways you show up for yourselves and each other.

Hoodies: These are all about comfort and pride. Whether you’re throwing it on after a workout or lounging at home, I wanted you to have something cozy that reminds you of your hard work and connection to the community. The logo is a nod to Bremerton itself, a little piece of our city you can carry wherever you go.

Leggings: Finding the right leggings was non-negotiable. They had to be comfortable, durable, and inclusive in sizing. I partnered with a local brand that shares our values, so everyone—regardless of size or shape—can feel confident and supported.

Water Bottles: A good water bottle is like a workout buddy you can count on. Ours are built to last and keep your drink cold through the sweatiest sessions. Plus, they’re a stylish way to rep Harbor Moves on the go.

Totes and Bags: These were inspired by the lives you live outside the studio. Whether you’re running errands or heading to class, these bags are sturdy, practical, and a little reminder that you’re part of something bigger.

Why It Matters
I’ve always believed that fitness is about more than physical strength. It’s about community, connection, and the way we show up for each other. The merchandise at Harbor Moves isn’t just about selling products; it’s about celebrating those connections and making sure everyone feels included. When you wear our merch or carry our bags, you’re representing a movement—one that says, “Everyone belongs here.”

Shop the Harbor Moves Store
I’m so proud of the pieces we’ve created, and I hope you love them as much as I do. Whether you’re looking for a cozy hoodie, inclusive activewear, or a durable water bottle, there’s something for everyone.

Click here to shop the Harbor Moves store!

If Judy wasn’t comfortable with just talking into a recorder, she could also ask a friend to interview her or ask the AI tool to help generate a list of questions and respond to that.

Is it perfect? No! Is it a pretty great start? Absolutely. And sometimes, as small business owners, that’s what we need: a pretty good start.

Sharing Your Content
Judy has decided to use this blog article as a way to get people excited about her merchandise while also telling her story. As a marketer, I approve of (and made up) this approach because people have a reason to be here beyond “BUY MY STUFF”. Understanding the “why” behind a business is far more impactful than anonymous consumerism.

She has five main ways to get the word out about her latest piece:

Social media

Social media ads

Her email list

Posters

A blurb in her local Chamber of Commerce newsletter

She’s busy. She’s moonlighting at the senior center to make ends meet while trying to launch this new business. She’s got a severance from her last job and some savings but she wants to be careful about how much she goes through. So, in order to get the most out of her piece she’s going to ask her AI tool to help her write a first draft of these.

Judy asks her AI tool:
> Can you help me with some content that will help me drive people back to this blog article? The ways I can reach out are: Facebook, Instagram, and X. Think about:

Clarify Your Goals: Are you looking to generate leads, make direct sales, or serve as a digital brochure? This will help you and the designer understand the site’s main purpose.

List Required Functionalities: Do you need specific features, like appointment scheduling, e-commerce capabilities, or customer forms? A designer with experience in these functionalities can help you implement them effectively.

Platform Preferences: Consider if you have a preference for certain platforms like WordPress, Squarespace, or Wix. Not all designers work with every platform, so knowing this upfront will streamline your search.

Logo and Brand Kit: Do you have a logo and brand that works for your current offerings? If you don't, consider finding a website designer that also does brand design as they will be able to help you create brand cohesion. More on this below!

Should Your Designer Have Experience in Your Industry?

Experience in your industry can be a valuable asset. While some design principles are universal, industry nuances can impact design choices and user experience.

Relevance Matters: If a designer has worked with businesses like yours, they’ll likely understand industry standards and customer expectations. Ask if they’ve worked with similar clients and what they’ve learned from those projects.

Research Process: Designers who haven’t worked in your industry should be able to articulate a thorough research process to get up to speed.
